Terms of Service, Data Processing Agreement and Disclosure Notice

Version date: 2026-10-21

Terms of Service

Service provider and scope

SportLive is a software service that helps gyms and studios manage their business processes. SportLive is provided by Melih Güçlü, a sole proprietorship, under the Piklo Studio and MEG Digital brands. Place of business: Afyonkarahisar / Merkez, Türkiye. Contact and personal data requests: info@piklos.com. These terms govern the usage relationship between the authorised person who signs a service contract on behalf of the business and the service provider.

Registration and account security

The user accepts that they are authorised to act on behalf of the business and that the information they provide is accurate and up to date. Email verification is used for account opening and security. The business is responsible for granting user access appropriate to each role, closing access when a role ends and protecting access credentials. Suspected unauthorised access must be reported to the service provider without delay.

Demo request and setup

The service starts with the service contract made after the business’s demo request and the setup agreed in that contract. The business account is opened by the service provider during setup; there is no self-service signup and no free tier. The scope of the setup, the service start date and its duration are set in the contract.

Packages and pricing

Features, user and branch limits and AI usage rights are determined by the package set in the contract and defined on the account. The price, period and payment terms are communicated in a quote or contract before the service starts. Collection is carried out according to the relevant quote or contract terms.

Business records and usage limits

The business is responsible for the accuracy of member, staff, sales, payment and other records and for providing the legal grounds needed to process them. Content that violates others’ rights must not be uploaded; attempts to reach other businesses’ data or to disrupt the security of the service are not permitted.

Reports and AI

Calculations and reports are based on the records entered into the system and the scope of the feature used. Missing or incorrect records can affect the results. Forecasts are not realised income. AI explanations may contain errors and must be checked before acting on them. Outputs are not accounting, tax, legal or investment advice and do not take over the business’s decision responsibility.

Service operation and support

Maintenance, updates, security measures, connection problems or infrastructure outages can affect access. Support requests can be sent to info@piklos.com. Unless a separate written service level agreement exists, no specific response time or uninterrupted access is promised.

Restricting access and account closure

Access can be restricted to the necessary extent because of unlawful use, unauthorised access, security threats or requests from competent authorities. Except for urgent security or legal necessity, the reason and any remedy are communicated to the business. Account closure, record export and deletion requests can be sent to info@piklos.com; requests are evaluated with legal retention obligations and personal data rights in mind.

Intellectual property and changes

The rights to the software and design belong to the service provider or the relevant rights holders. The business keeps its rights over the content it uploads. Current terms are published with a version date; changes affecting rights and obligations are also notified separately and accepted again where required by law. Rights arising from mandatory legislation are reserved.

Data Processing Agreement

Parties and roles

SportLive is provided by Melih Güçlü, a sole proprietorship, under the Piklo Studio and MEG Digital brands. Place of business: Afyonkarahisar / Merkez, Türkiye. Contact and personal data requests: info@piklos.com. The business determines the purposes of processing the member, prospective member and staff data it records in SportLive and is the data controller for that processing. For SportLive account and registration processing, the data controller is Melih Güçlü. For the member, prospective member and staff data that gyms record in SportLive, the data controller is the respective gym business; Melih Güçlü acts as the data processor for that data. Registration, account security, the contract relationship and our own support processes are also explained in the Disclosure Notice.

Subject and purpose of processing

Processing covers recording, storing, editing, displaying, presenting to authorised users, backing up and fulfilling related requests within the scope of the features used. Its purpose is to run the membership, class, appointment, check-in and check-out, till, payment, staff, shift and payroll processes. The processing relationship continues for the duration of the service and the necessary data operations after it.

Data subjects and data categories

Depending on the features used, information about members and prospects, staff, trainers, authorised users and, where needed, guardians or emergency contacts may be processed. Identity and contact details, membership and packages, sales and payments, classes and attendance, check-in and check-out, staff and pay records, uploaded documents and images, and the technical information needed for sessions and notifications are in scope. Unnecessary data must not be entered for features that are not used.

Instructions and the business’s obligations

Authorised user actions and verified requests sent through support constitute processing instructions within the service. The business is obliged to determine the legal grounds, inform data subjects and obtain separate explicit consent where required. This agreement does not replace the explicit consent of members or staff. Special categories of data such as health information must not be entered into the service before the relevant legislative conditions are met.

Confidentiality and security

Melih Güçlü limits access to what the service and support need; applies appropriate measures for authorisation, business and branch scopes, verification, abuse prevention and transaction security. The business protects its user permissions, devices and access credentials. The parties cooperate on data confidentiality and reducing security risks.

Service providers and transfers

Service providers are used for hosting, data and file storage, push notifications, real-time communication, security, error tracking and the AI features in use. Emails are sent through our own mail server in Türkiye. Push notifications are delivered to devices through Expo together with Apple’s and Google’s notification infrastructures; the push token and notification text are processed abroad in this delivery. Data is limited to the purpose of the relevant service. For processing that requires transfer abroad, the applicable KVKK transfer conditions must be met. Accepting this agreement alone does not constitute consent to transfer abroad or an adequate safeguard. The providers in use and the transfer arrangements can be requested from info@piklos.com.

AI features

When an AI feature is used, the text needed for the operation, business context, report data or voice data in a voice feature may be sent to the relevant provider. Unnecessary personal data, special categories of data and secrets must not be added to prompts. Outputs require human review. The scope of the data sent must be limited to the purpose of the relevant processing and the service provider arrangements.

Requests and security incidents

Data subject requests concerning business data are concluded primarily by the business. Melih Güçlü provides the support needed for the records and operations within the service. When a personal data breach affecting business data is discovered, the business is informed without delay; the known scope, effects and measures are shared. Each party’s own data controller obligations are reserved.

End of the service

Record export and deletion requests are carried out with verified instructions, legal retention obligations and the systems holding the data in mind. Records that must be kept by law are retained only for the relevant purpose. The live system, files, backups and provider records cannot be assumed to be deleted at the same moment; the scope and result of the request are reported to the business. For personal data, this agreement takes precedence over the Terms of Service.
